What you'll learn

  • Use AI to speed up SOP first drafts.
  • Avoid AI producing a 'theoretical SOP' that no one can actually follow.

Step-by-step guide

Why is writing an SOP so hard?

Most field experience lives in people's heads, and detail gets lost the moment it's written down. AI can help organize it, but without on-the-ground information it will still produce a polished but unusable SOP.

The 3-step workflow

1. On-site interview: Have the person who does the work describe 2 typical cases and 1 exception case. 2. AI drafting: Use an 'SOP drafting prompt' to produce a first draft. 3. Trial run: Have someone who wasn't interviewed follow it, and note where they get stuck.

Build exception handling into the SOP

An SOP with no exception handling is just paperwork. List at least 3 common exceptions and who to escalate to.

Versioning and audit

Every SOP needs a version number, effective date, and approver, and should be reviewed at least once a year.

Good example / Bad example

Good practice

Interview first, then have AI organize it, and require it to list 'points where the person doing the work might get stuck.'

Bad practice

Let AI generate a 'perfect SOP' out of thin air.

Common mistakes

  • Posting the AI-drafted SOP straight on the wall without a trial run.

Cautions

  • Safety, compliance, and financial SOPs must be reviewed by qualified professionals.
